PLEASE READ THOROUGHLY.

1. SESSION FEE.

Deposit of 25% due at the time of booking in order to secure your date. Deposits are non-refundable and count toward your total investment. 

Portraits: Total balance must be paid at or prior to the time of the session. The session will not begin otherwise. If payment is not completed (ie: check bounce, electronic payment failure etc…) photos will not be edited/edited photos will not be released until rectified. 

Payments accepted via PayPal/Cash App/Venmo, Cash, Check, Credit/Debit. Once the session fee is paid, no additional client can be booked for that time, as a result session fees are non-refundable. Session fees are valid for no more than 6 months after the date of purchase. Session fees that have not been redeemed after 6 months are no longer valid. 

Corporate: Session fees are priced on a sliding scale. The volume discount included for one session may not be transferred to another date.

2. CANCELLATION AND RESCHEDULING. If you must cancel your session, please let us know as soon as possible (no later than 48 hours prior) so that we can reschedule to the next available date. Cancellations that take place under 48 hours are subject to a $200 rescheduling fee. You are, however, limited to one rescheduled date. If a second reschedule is requested, you will be invoiced a $200 rescheduling fee, otherwise your session is subject to cancellation. 

Note: Your session may also be subject to cancellation if your pre-session items (wardrobe photos and any additional requested information) are not received by the specified date. This is critical for proper planning, so when it is not received in a timely manner, your session cannot be planned for effectively. 

COVID-19 adjustment: If you or anyone in your home or office, or anyone around you feels sick or shows symptoms, please let us know as soon as possible- even if it’s the day of your session. Your session will be cancelled, and we can reschedule once everyone is feeling better. HEALTH AND SAFETY are critical to our operation.

3. INCLEMENT WEATHER. If there is inclement weather the day of your session, one of two things will happen: we will reschedule your session to the next available date OR a suitable indoor location will be arranged. This will be discussed roughly one week prior (as soon as the forecast is available) and the final decision will be made no sooner than 2 days (and no later than 24 hours) prior to your session.

4. TIME. Please arrive on time to your session dressed and ready to begin. There is a window of time allotted for your photo session that begins at your specified time, so additional time for preparation will reduce the time we can spend taking photos. If you are more than 30 minutes late, your session is subject to cancellation. 

5. PHOTO SELECTION AND PROOF GALLERIES. In most cases, your photographer will select the best images from the session and deliver them to you within 24-48 hours. We will likely include a few additional images (variations of the same look) to give you a choice of which you prefer.  If you prefer to choose the images yourself, we can set up an image review session, in which the person who booked your session, and your photographer will meet in person (socially distanced and masked due to COVID-19) and select the images. We DO NOT release unedited images for any reason. This is not an adequate representation of our work. McDonalds won’t give you a raw potato along with your freshly cooked French fries. Apple won’t give you a prototype of your new iPhone along with the completed device (trust me, I’ve tried).  That would be bad customer service. We are artists, and we are sensitive about our pics. Please respect this.
If you would like a proof gallery to order additional prints outside of your package, we can create a temporary link to your final images. This can be used to order prints and gifts.
Proof galleries are for viewing only. Sharing screenshots of your proof gallery is a copyright violation and may warrant legal action. 

6. RETOUCHED DIGITAL IMAGES (aka RDIs, Images, Final Images, Digitals, Photos, Pictures, Pics) Your proof gallery will only consist of your final images, selected either by your photographer or during your in-person (socially distanced and masked) meeting with your photographer.  Note: VERSatile Optics Media Photography has a natural and realistic retouching style. We aim to create realistic images for lasting memories. If extensive retouching or editing is requested, this will incur an additional fee. Please review our work prior to booking your session. Again, we DO NOT release unedited images for any reason. 

7. USAGE AND PHOTO CREDIT. Your images are for personal or professional use only (depending on the session booked). If you desire to use your images commercially, this will incur a licensing fee- to be determined based on the manner in which the image(s) will be used. Unless otherwise stated, you grant permission to include your photos in  VERSatile Optics Media’s portfolio. If the request is made for your images not to be included in the portfolio, this will be honored and noted on your contract. Please credit VERSatile Optics Media (or your photographer’s name) when sharing your images. When sharing on social media, please credit @VERSatileOptics.

8. AGREEMENT. Upon booking your session, you agree to adhere to all terms and conditions stated above or verbally with your photographer. Failure to comply can result in loss of deposit or legal action.
